Job Description
JOB SUMMARY:
A senior events team member/project leader involved in the day to day execution of all corporate events for Hearst Corporation and Hearst Magazines. Work with events team to maintain brand awareness in the market place through corporate events, editorial and advertiser events, and conferences.
MAJOR RESPONSIBILITIES:
Reports to Executive Director on the following day-to-day operations of assigned events:
List management: master Hearst Corporate invitees, etc.
Collateral material development: evites, save the dates, invitations, programs, menu cards, namebadges, signage
Catering: menu, rentals, waitstaff attire, insurance, deliveries
Décor: overall concept/theme, florals, linens, backdrop
Dining Services/Facilities: internal communication
Stage production and AV: proposals, concept, backdrop, rentals, timelines
Technology: IT website development, corporate wide communications
Management of all outside vendors related to project
Act as the Hearst Corporation contact to all external charitable organizations. Fill tables, manage financial contributions and develop advertising for all charitable events. Maintain database of all Hearst charitable activities and provide quarterly reports. Manage charity calendar.
Aid in developing all budgets and remain within allotted budget for assigned events.
Project leader on high level events -- spearhead logistics and manage conferences/events: Spotlight Awards, Publisher meeting, Management Conference, Paley Center event. Take part in and contribute to weekly staff meeting to update regarding all pending projects.
Brainstorm and be an active participant in developing event concepts. Keep abreast of the following areas that is relative to Hearst divisions’ business:
Trends
Venues
Entertainment: live music, dj
Décor: new florists
Catering: specialty stores, bakeries
Cultural events: museums and art exhibitions
Restaurants
RELATIONSHIPS
Day-to-day contact with Hearst executives including group heads, editors, publishers, associate publishers, and other top-level management is required in this position. It is important that both verbal & written communication be clear, accurate, well thought-out & that any follow-through be executed in a timely fashion.
Filter and communicate all information and decision making through management.
Through the production of events there will be opportunities to interact with important clients and other “friends of Hearst.” The events marketing team must always maintain a professional, positive, helpful & friendly attitude.
Maintaining and developing strong contacts with reliable and exceptional outside vendors is also important, especially considering the competitive marketplace in which we compete. The Events Marketing Director will act as a liaison between outside vendors and the Corporation and work to leverage these relationships to the maximum benefit of the company.
