The Experiential Event manager is a critical member of a small but high-energy team responsible for designing and executing high-impact events that inspire and educate Dolby customers and employees. Working closely with the Senior Director, Experiential Marketing, this role is accountable for the entire event life cycle of planning, implementation, and post-event analysis. This role acts as a program manager, working closely with multiple marketing functions including Integrated Marketing, Global Field Marketing, the Marketing Studio, and Communications/PR and drives stakeholder interlock, tracks and communicates milestones, action items and identifies challenges in accomplishing goals and objectives.


This role is responsible for budget oversight including line item projections, tracking and post show reconciliation. Responsibilities include producing assigned Dolby Tier 1 tradeshows worldwide, partner symposiums/forums, product launches, high-profile corporate events, and customer events. As tradeshows and events account for a large part of the overall Dolby marketing budget, the Experiential Event Manager will work to ensure synergies and efficiencies between events: leveraging assets strategically from event to event to build the overall, consistent Dolby brand story while meeting specific business objectives.


As Dolby’s tradeshow presence often includes technical demos, Experiential Event Manager will partner closely with agency of record, Experiential Technical Manager, Integrated Marketing Lead, BG and R&D, and Content/Creative stakeholders to insure interlock around demo strategy, planning, sourcing, set-up, staffing and tear down. He/she will also partner closely with Integrated Marketing and members of the Marketing Studio to ensure the successful integration of relevant marketing messaging and collateral in accordance with the overall objectives and plan.


This is a hands-on position, requiring both big picture perspective and roll-up-your sleeves capabilities, working on large and small events. The successful candidate must be a team player, skilled budget manager and negotiator, obsessive planner and creative/strategic thinker who is self-motivated, confident, hard-working and enthusiastic.


This role reports to the Senior Director, Experiential Marketing.


Responsibilities:

  • Organize and lead regular stakeholder meetings with internal teams to ensure Dolby’s Tier 1 tradeshow and event strategy accomplishes business objectives as outlined.
  • Clearly communicate objectives, timelines, project status, and budget updates, as well as risks/opportunities to members of marketing teams on a regular and consistent basis.
  • Create briefing overview and leverage this for information sharing among stakeholders and executive presentations.
  • Identify red, yellow, green aspects and escalate to the Senior Director, Experiential Marketing
  • Drive internal communications plan and oversee launch of customer/partner meetings strategy, implementation, execution and reporting.
  • Provide deliverable deadline guidance for logistics/IT/signage at events and ensure critical deadlines are communicated, tracked and met. Ensure that executives have the information they need on a timely basis to approve trade show plans and work.
  • Research, evaluate/negotiate and book event venues, exhibit space, etc.
  • Manage all event vendors. Outsource management to one singular agency of record when possible.
  • Prepare, manage, and report on budgets for shows and events, including accruals and other accounting reconciliations as necessary
  • Oversight of all related logistics including customer meeting tool, housing, registration, transportation, F&B, décor, Dolby-affiliated personnel who will be responsible for booth set-up and breakdown, demos, technical support, customer contact, presentations, etc. – act as the on-site lead providing direction to staff, customers and executive attendees
  • Manage post-event evaluations, ROI and metrics analysis in conjunction with BG and/or Sales
  • Partnering closely with the Communications/PR team and executive team, help plan for and manage the execution of high visibility internal events such as Quarterly Update Meetings and the annual Worldwide Sales & Marketing Conference as well as special / ad hoc events as needed


    Required Skills

  • 7+ years of experience producing high quality events and tradeshows, preferably for a technology company (experience attending and coordinating booth / meeting set-up at shows like Mobile World Congress, NAB, CES, etc.)
  • Team player who possesses strong interpersonal, written and oral communication skills – must be able to remain calm in deadline-driven, high pressure environments and defuse conflict
  • Creative problem-solver with ability to multi-task, manage multiple projects and meet deadlines in a fast-paced environment
  • Ability to travel 30% to facilitate local, domestic and international events, as required
  • Self-starter with sense of humor and positive, can-do professional demeanor who requires little hand holding
  • Substantial budget management experience, including fiscal responsibility for very large ($100k - $800k) budgets coming in on or below target.
  • Bachelors degree in English, communications, marketing or a related field
