Strategic responsibilities:
Manage all Sponsored event communication, coordination and creation of materials to elevate HOO presence.
Help, plan and execute complete lifecycle of all Sponsored events.
Remain current on industry trends and propose creative ideas and themes. Research and recommend events by providing costs estimates, resource analyses, potential ROI, competitors, partners, etc
Assist in developing an objective and strategy for each Sponsored event which is consistent with the Brand strategy.
Functional Responsibilities:
Develop and manage an event/ project calendar which consists of all Sponsored events.
Assist with event/project budgets and preparation of event cost estimates.
Track project costs; reconcile project and department budgets. Update Manager and Marketing team on budget expenditures for all events. Provide detailed budget analysis and event overviews for all events.
Help plan regular update and planning meetings with the Marketing team and event partners.
Create detailed event production plans to ensure all aspects Branding at events will be in place.
Work with Marketing team to purchase all equipment and support materials for all events. Oversee production of all custom items needed for event implementation.
Tactical Event Responsibilities:
Communicates with all appropriate groups regarding events such as: event overview, timeline, requirements, pre/post event follow-up, etc. Keeps event calendars and databases updated. Is responsible for filling all event paper work in a timely fashion.
Travel to key events and assist the Marketing team initial planning to completion of event.
Assist with communications and logistical needs between Deckers, HOO, event partners and marketing partners.
Assist with all pre, on-site, and post event activities by monitoring activities at each event, addressing concerns and resolving problems to ensure the event’s success.
Identify, contact, and book all aspects of event, including technology, equipment, logistical requirements, food and beverage, audio/visual, speakers, clearance needs, parking, signage and other related elements.
Ensure alignment of other resources and materials to support events including presentations, printed collateral material, promotional items, registration packets, press kits, staff shirts and uniforms, etc.
Coordinate invitation of any executives, special guests, speakers, or VIPs to the site, as well as the logistics (scheduling date/time, clearance passage, directions, reserving conference room, setting up refreshments, greeting executives or VIP’s upon arrival).
Ensure protocol requirements and details for event are in place and brief leaders and participants on proper protocol for event
Work with Marketing team and event partners to develop concepts and publish promotion for events as needed.
Post Event Responsibilities:
Post event/show responsibilities include developing post event/show reports to include relevant quantifiable metrics including information on cost-per-contact, audience, profiles, and representatives’ comments in order to determine ROI analysis of event participation and follow up with HOO Marketing team.
Develop post-event reports and analysis to determine effectiveness of each event as well as recommendations for similar events
Bachelor’s Degree
4-6 years related experience including experience and background in developing, overseeing, and executing events/ races.
Experience in one or more of the following areas: Marketing, Public and/or Media Relations, Corporate Communications, Event Planning, or Project Management required
Proven experience in managing multiple projects and developing project plans and managing budgets
Proven networking and relationship-building experience required
Experience working effectively in complex global organizations, satisfying the needs of diverse constituents, and often working under the pressure of competing and sometimes conflicting priorities.
Understanding in managing various types of events including company meetings, multi-day destination conferences, conventions, exhibits, tradeshows, and community outreach
Footwear industry or event management experience preferred
High degree of proficiency in all Microsoft Applications especially Power Point and Excel.
Rudimentary understanding of Adobe Photo Shop and Illustrator.
Comfortable with both PC and Mac platforms
Ability to effectively prepare and present information and respond to questions from management, clients, and other employees of the organization.
Strong budget, financial management and administration skills including the ability to follow budget priorities and procedures.
