The Events team at Opus Bank is an integral part of bringing the magic that happens at Opus, to life. Every day is different than the last and that’s just the way we like it! The Event Specialist will focus on sports marketing and a wide variety of event coordinating tasks requiring initiative, independent judgment and extensive working knowledge of the organization. The work entails dealing with a variety of individuals including executive management, board of directors, members of Opus Bank at other locations, as well as interacting with outside parties of other institutions, companies, prospects and clients of the Bank, while exercising a high degree of discretion and tact in all communications. The individual must possess ability to observe strict confidentiality. This position will report to the Head of Corporate and Community Events and will be expected to manage multiple events at the same time.


Events Administration

  • Negotiates all event details (costs, benefits, speaker placement, promotional opportunities, etc.)
  • Creates, maintains and publishes a calendar of all special events and sports activities
  • Creates inventory of required assets for each event (tickets, roles, promotional opportunities, program placement, tables/seats, etc.)
  • Creates guest list and issues invitations, working with business unit presidents; monitors RSVPs; fills seats as vacancies occur
  • Creates production calendar for each event (logo/ad placement, attendee confirmations, etc.) Identifies assets to be deployed to each event (video, banners, pop-ups, incentives or premiums)
  • Develops confirming e-mails to attendees, departments required to provide materials or people
  • Attends day-of-event pre-production meetings (e.g. testing videos/sound, set-up)
  • Following event, captures inventory of leads generated from the event
  • Checks quarterly to metric client conversions
  • Maintains records of event costs and ROI
  • Develops appropriate budgets for approval
  • Assist with tracking actual vs. budgets costs and reports results monthly
  • Must be willing to travel to events by personal car or airplane (all travel will be reimbursed)


    Duties and Responsibilities:

  • Performs advanced, diversified and administrative duties requiring broad and comprehensive experience, skill and knowledge of organization policies and practices.
  • Works without direction and is capable of independent decision making.
  • Works as a teammate with other Marketing Staff.
  • Makes transportation and travel arrangements as needed Assists with special projects.
  • Creates, organizes and maintains a variety of files, records and manuals.
  • Creates and tracks invoices and expense reports as needed.
  • Resolves routine and complex inquiries.


    Supervisory Duties: This position has no supervisory duties.


    Required Skills

    Knowledge and Skills:

  • Experience coordinating sports sponsorships.
  • Working knowledge of bank policies and procedures with ability to understand and interpret clearly and accurately.
  • Ability to compose written material, including reports and communications for the clear understanding of others.
  • Excellent knowledge of business English.
  • Thorough knowledge of modern office practices and procedures and the use of office machines, computer equipment, e-mail and the Internet.
  • Current computer skills in word processing, spreadsheets and computer presentation applications.
  • Strong facilitation, organizational and verbal communication skills.
  • Excellent interpersonal skills with ability to deal effectively with employees, clients, business professionals and governmental officials.
  • Ability to establish and maintain effective working relationships.
  • Ability to use good judgment in recognizing scope of authority in responding to inquiries.
  • Ability to produce high quality work without immediate supervision.


    Education and/or Experience: Bachelor's degree (B.A.) from four-year college or university; or equivalent combination of education and experience. At least 2 years' experience performing complex and responsible administrative duties and event planning for high level executives, to include research, word processing and spreadsheets.
