Wheels Up is seeking an Event Planning & Marketing Coordinator to come join the team! This position will support the Wheels Up Events and Partnerships Team in planning world-class events (from Art Basel to the Masters) and managing partnerships and activation – from coordinating with vendors and scheduling celebrity Ambassador appearances and working with internal stakeholders to drive member engagement through the Wheels Down lifestyle platform.


Responsibilities

  • Event Planning – coordinating with vendors on event logistics, menu selection, swag orders, music, etc.
  • On-Site Event Coordination – all-hands-on-deck support for dozens of Wheels Up events throughout the year including the Super Bowl, Masters, and Art Basel
  • Event Marketing – coordinate event invitations, manage RSVPs, and manage content with marketing, creative, social, auto-com and digital teams
  • Scheduling Ambassador Appearances – working with internal Wheels Up executives and external agents to schedule appearances with Wheels Up celebrity/athlete Ambassadors and tracking deal information and assets owed internally
  • Partnerships Support -- coordinating with Partners and members on benefit redemptions, tracking and activation
  • Managing Events and Partnership Inbox – responding to inquiries in a timely fashion
  • Administrative Support – submitting invoices, managing event calendar and expenses.


    Required Skills

  • Extremely organized and comfortable with a junior level role that includes administrative tasks

  • A great communicator (both written and verbal)– with our members, partners, vendors, and internal team – in a timely and professional manner
  • Cool as a cucumber, able to make decisions and function independently in (sometimes) stressful situations

  • Undergraduate Degree
  • 2-5 years of work experience within event planning, marketing, or partnerships within an agency, property, or client-side setting
  • Ideally have experience in customer service and direct communication with a high-end consumer
